Setting Up Voicemail Options

There are different options that can be set up for your voicemail, including your name in the directory, busy greeting, personal greeting, away message, and other settings.  This article will walk you through how to set up / change those greetings.

Voicemail Options:

  • Name in the Directory - this recording is played when callers are transferred to your extension
  • Busy Greeting - this recording is played when you press the ignore button when a call is coming in on your phone
  • Personal Greeting (Default Voicemail Recording) - this is what is played when the call goes to voicemail
  • Away Message - this is an alternative message that you can set for voicemail.  It is used primary when you are out of the office for an extended time so that you don't have to re-record your personal greeting when you return.
  • Changing your Passcode - this is how to change your PIN for voicemail

 

Setting or Changing Your Name in the Directory

  1. Connect to your voicemail
    1. If you are at your phone
      1. Press the voicemail button on your phone
      2. Enter your PIN and press #
    2. If you are at another phone
      1. Press the voicemail button
      2. Press the * key
      3. Enter your mailbox number and press #
      4. Enter your PIN and press #
    3. Press 3 to go to the Greetings Menu
    4. Press 1 to change your name
      1. Press 1 to record your name
        1. Press # after you record your name
      2. Press 2 to play your current name recording
    5. After you are satisfied with your recording you can hang up

 

Setting or Changing Your Busy Greeting

  1. Connect to your voicemail
    1. If you are at your phone
      1. Press the voicemail button on your phone
      2. Enter your PIN and press #
    2. If you are at another phone
      1. Press the voicemail button
      2. Press the * key
      3. Enter your mailbox number and press #
      4. Enter your PIN and press #
    3. Press 3 to go to the Greetings Menu
    4. Press 2 to change your busy greeting
      1. Press 1 to record a new busy greeting
        1. Press # after you record your greeting
      2. Press 2 play the current busy greeting
      3. Press 3 to revert to the system default busy greeting
    5. After you are satisfied with your recording you can hang up

 

Setting or Changing Your Personal Greeting (Default Voicemail Recording)

  1. Connect to your voicemail
    1. If you are at your phone
      1. Press the voicemail button on your phone
      2. Enter your PIN and press #
    2. If you are at another phone
      1. Press the voicemail button
      2. Press the * key
      3. Enter your mailbox number and press #
      4. Enter your PIN and press #
    3. Press 3 to go to the Greetings Menu
    4. Press 3 to change your mailbox no answer greeting
      1. Press 1 to record a new no answer greeting
        1. Press # after you  record your greeting
      2. Press 2 to play the current greeting
      3. Press 3 to revert to the system default greeting
    5. After you are satisfied with your recording you can hang up

 

Setting or Changing Away Message

  1. Connect to your voicemail
    1. If you are at your phone
      1. Press the voicemail button on your phone
      2. Enter your PIN and press #
    2. If you are at another phone
      1. Press the voicemail button
      2. Press the * key
      3. Enter your mailbox number and press #
      4. Enter your PIN and press #
    3. Press 3 to go to the Greetings Menu
    4. Press 4 to change your mailbox extended away greeting
      1. Press 1 to activate your extended away greeting (you need to already have one recorded)
      2. Press 2 to deactivate your extended away greeting
      3. Press 3 to record a new extended away greeting
        1. Press # after you record your greeting
      4. Press 4 to play your current greeting
    5. After you are satisfied with your recording you can hang up

 

To Change Your Passcode

  1. Connect to your voicemail
    1. If you are at your phone
      1. Press the voicemail button on your phone
      2. Enter your PIN and press #
    2. If you are at another phone
      1. Press the voicemail button
      2. Press the * key
      3. Enter your mailbox number and press #
      4. Enter your PIN and press #
    3. Press 8 to go to the Greetings Menu
    4. Enter a 6 digit passcode (PIN) and press #
    5. Re-enter the new 6 digit passcode and press #
    6. You are finished and can hang up after the recording that your passcode has been successfully changed
